1) Overview

POS2U provides point-of-sale and business management tools. Depending on how you use POS2U, we may process information about account holders (merchants), staff users, and end customers (e.g., receipts or loyalty).

Important: If you are a merchant using POS2U, you are typically the “data controller” for your customers’ data (like receipts, phone numbers, loyalty), and POS2U acts as a “data processor” on your behalf.

2) Data we collect

We may collect the following categories of information:

  • Account information: business name, owner name, email, phone number, outlet details.
  • Login & profile: username, password (stored as a secure hash), role/access level.
  • Transaction data (merchant use): order totals, items, taxes, discounts, payment method type, timestamps.
  • Device & usage data: app version, device model, OS, crash logs, performance metrics.
  • Customer data (if merchant collects it): customer name, phone/email, loyalty points, order history.
  • Support data: messages, screenshots, logs shared when you contact support.
  • Website data: pages visited, approximate location (country), browser type, referral source.

We do not intentionally collect “sensitive” personal data (such as medical or biometric data). If you submit it to us, you consent to our processing to provide support.

3) How we use data

We use information to:

  • Provide and maintain the Services (POS features, sync, reporting, multi-outlet operations).
  • Authenticate users and prevent fraud or unauthorized access.
  • Process transactions and generate receipts/invoices (as configured by the merchant).
  • Provide analytics and business insights (e.g., best sellers, peak hours).
  • Improve performance, fix bugs, and develop new features.
  • Communicate important service updates, security alerts, and support responses.
  • Comply with legal obligations and resolve disputes.

4) Sharing & disclosures

We may share information in limited cases:

  • Service providers: hosting, databases, email/SMS, analytics, customer support tools.
  • Payment partners: if you enable payment gateways or online links (varies by integration).
  • Legal: if required by law, court order, or to protect rights and safety.
  • Business transfers: if we merge, acquire, or sell assets (with appropriate notice).

We do not sell personal data. If you use third-party services (payment gateways, delivery platforms, etc.), their privacy policies apply to the data they process.

5) Storage & retention

We keep information only as long as necessary for the purposes described above, unless a longer retention period is required by law. Merchants can request export or deletion of account data (subject to legal and operational limits).

  • Account data: retained while your account is active.
  • Transaction records: may be retained for accounting and compliance.
  • Logs & diagnostics: retained for a limited period to secure and improve the Services.

6) Security

We use reasonable administrative, technical, and physical security measures to protect your information, including access controls, encryption in transit (HTTPS), and least-privilege access where possible.

No method of transmission or storage is 100% secure. You are responsible for keeping your login details confidential and using strong passwords/PINs.

7) Cookies & analytics

Our website may use cookies and similar technologies to remember preferences, measure traffic, and improve user experience.

  • Essential cookies: required for basic site functionality.
  • Analytics cookies: help us understand usage patterns (e.g., GA4 if enabled).

You can control cookies through your browser settings. Disabling cookies may affect site functionality.

8) Your rights

Depending on your location, you may have rights to:

  • Request access to your personal data.
  • Request correction of inaccurate data.
  • Request deletion (where legally permitted).
  • Object to or restrict certain processing.
  • Request export/portability of your data (where applicable).

If you are an end customer of a merchant using POS2U, please contact that merchant first, because they control how your data is used within their POS account.

9) Children’s privacy

Our Services are not intended for children under 13 (or the minimum age required in your country). We do not knowingly collect personal information from children.

10) International transfers

Your information may be processed in countries where we or our service providers operate. We take steps to ensure appropriate safeguards are used for cross-border transfers where required.

11) Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will update the “Last updated” date at the top of this page. If changes are significant, we may provide additional notice.
